Office Manager – County School / Girls School

Job Description

• Manage day-to-day activities of the front office as the main point of contact in the reception area, keeping Admin/Principal informed of performance with routine and requested reporting of staff lates and absents.
• Manage student management system which includes student enrollment, classes, admissions, withdrawals, and contact information update.
• Provide direct administrative support as needed by the Principal, including making daily planners, scheduling appointments, meetings, events, taking minutes of assigned meetings, making presentations and maintaining filing system.
• Being the point of contact for all HR related matters including attendance and recruitment.
• Responsibile for managing the school admission process in coordination with the school administration.
• Planning and execution of school budgets and documentation.
• Responsible for revenue collection and follow up.
• End to end file management and regularly updation of Student files and teacher files.
• Handle customer inquiries and complaints, answering phone calls in a timely manner.
• Ensure front office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems and overseeing supplies and equipment.
• Supervise, train, coach and discipline of front office team member(s)/assistant and delegate assignments to ensure maximum productivity.
• Ensure all essential forms, certificates, letters, memos or any other correspondence(s) are ready at all times for students, teachers, admin or parents’ reference.
• Monitor and manage office supplies inventory and inventory management system.
• Coordinate courier service and receive, sort and distribute incoming mail and prepare outgoing mail for distribution.
• Maintain front office operations by receiving and distributing communications; collecting and mailing correspondence(s) and information.
• Monitor incoming emails and answer or forward as required.
• Update and maintain databases such as mailing lists, contact lists and client information.

Qualification Requirement

• Bachelors degree from HEC recognised university.
• Proficient in MS Office Suite & Google Workplace Tools
• Financial & Accounting experience is a plus.
• English Proficiency. IELTS 5 or above

Experience Requirement

• Minimum 5 Years in a relevant role
